This position is responsible for scheduling athletic facilities, coordinating athletic travel, budget management, recordkeeping, book distribution, and assisting the Director, Athletics. Applicants may be asked to demonstrate any or all of the following duties: • Provides support to director, including correspondence. Coordinates supervisor's calendar, schedules appointments, screens calls and responds to inquiries as appropriate. • Makes copies of correspondence or other printed materials. • Prepares outgoing mail and correspondence, including e-mail and faxes. • Organizes and maintains electronic and hard copy files (some of which may be confidential) and files correspondence and other records. • Greets scheduled visitors and directs or ushers to appropriate area or person. • Arranges and coordinates travel schedules and reservations. • Conducts research, and compiles and types statistical reports. • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records. • Creates and maintains database and/or spreadsheet files. Inputs and updates department information into current College computer system. May oversee and maintain functional area web pages. • Maintains administrative inventory, orders and maintains supplies, and processes payments according to College requisition system. Arranges for equipment maintenance and/or facility maintenance. May handle petty cash. • Assists with preparation of department budget, and maintains budget expenditures and balances. • Assists Athletics with events and activities as directed by the Director. • Monitors athletic event calendar and assists with scheduling of events in athletic facilities. • Under the general direction of the Director, supervises, hires, evaluates and leads assigned staff members and student workers. • Participates in department wide fundraising activities. • Manages daily operations of intramural and club teams including assisting with scheduling, transportation, and administrative assistance. • Facilitates the distribution and collection of books issued to student-athletes through the Books on Loan program. • Supervises daily operations of the Bradenton campus weight room; including scheduling or open weight room activities, purchases, maintenance, and repair of equipment; and supervision of student workers. • Manages daily operations of intramural and club teams. • Assists the Director, Athletics with game operations during Fall and Spring sports seasons. • Submits recommendations to Director regarding scheduling, facilities, support staff, budget, transportation and equipment. • Performs other related tasks to meet department and job-specific requirements. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Education/Experience: High school diploma or general education degree (GED) and four (4) or more years' related experience and/or training. • Supervisory Experience: No supervisory experience required. • Certificates and Licenses None required. Responsibility for People and Property: This position supervises the Office of Student Life Student Worker. Responsibility for Communication: • Internal Contacts: This position has routine contact with all levels of college faculty, staff, students and administrators. • External Contacts: This position has routine contact with external contacts such as accrediting agencies, government or other academic institutions, student and or employment applicants, vendors, and the general public, depending on employing unit.
