(TXH) is a dynamic self-starter who works well both independently and in support of the leadership team. The ideal candidate is effective with minimal supervision and demonstrates a commitment to confidentiality, quality, productivity, dependability, adaptability, and attention to detail. Additionally, the ideal candidate must be a team player and effective communicator, capable of demonstrating a mastery of working with others and bringing a servant-leadership approach to the role. As the Executive Administrative Assistant, you will report to the President and may assist supporting the TXH leadership team as needed. General Duties and Responsibilities: • Provides administrative support to the TXH President • Retrieves information from multiple sources to produce reports, projects, memorandums, and other correspondence for the TXH executive team; may assist in interpreting and analyzing the data if requested • Manages calendars, responds to, and sends out meeting requests, and ensures schedules are kept up to date and accurate; resolves meeting conflicts if necessary to accommodate more urgent time sensitive requests • Responsible for completing expense reports for the President and other TXH leadership as requested • Organizes and maintains information that may be sensitive, confidential, or technical in nature • Manages incoming correspondence, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff as necessary • Responsible for reviewing the construction project task lists and is responsible for coordinating with the necessary parties to ensure work is getting done on time and on budget • Coordinates and schedules TXH employees to attend Tommy’s Express corporate training to include travel, lodging, and other logistical needs • Responsible for collaborating and communicating frequently with accounting, Human Resources, Marketing, Construction, and TXH Operations staff • Prepares agendas or other documents as requested by the TXH executives • Responsible for inventorying all TXH owned electronics and other TXH owned property • Responsible for the planning and communications for all TXH meetings and special events to include, but not limited to locating and negotiating meeting spaces, lodging, food & beverage selections, group activities, as well as preparing and distributing meeting materials • Responsible for the office organization to include ordering supplies, maintaining necessary files and records, and working with TXH office vendors as necessary • Performs other duties as assigned • Maintains confidentiality of company proprietary information and employee confidentiality. • Speaks with others using clear, inclusive, and professional language. • Listens and respond appropriately to the concerns of employees in a timely and professional manner. • Provides weekly data reports to Leadership as requested in a timely and accurate manner • Collaborates on special projects and tasks assigned. Education: • High school diploma required, Associate/Bachelor degree preferred • 3-5 years of experience in administrative role in a fast-paced environment Job Knowledge, Skills, and Abilities: • High Sound judgment, critical thinking, and problem-solving skills. • High-level professionalism and discretion. • Superb computer literacy with capability in email, MS Office, and related software. • Proficiency with HRIS platforms, specifically Paylocity. • Excellent written and verbal communication skills. • Proficient in MS Office software products, including Outlook, Word, Excel, PowerPoint • Experience working with Access, Adobe, and MS Project is preferred • Must be able to exercise independent judgement and discretion on sensitive and confidential projects and/or assignments • Must be able to initiate and sustain professional relationships with the TXH team, Tommy’s Express Corporate, vendors, and guests • Must have experience with analyzing and interpreting data to prepare reports as requested • Ability to communicate well verbally and in writing to all levels of the organization • Should have good business insight and be able to use that knowledge to help support TXH goals • Has a bias for action and a high sense of urgency • Must be able to manage multiple, rapidly evolving priorities in a dynamic high-growth operation with professionalism and confidentiality • Ability to understand and carry out verbal and written instructions • Ability to interact professionally and maintain effective working relationships with superiors, coworkers, and members Work Environment Work is performed in an office environment with fluctuating temperatures. Must be able to operate standard office equipment. Prolonged sitting and viewing computer screens and written materials. Must be able to periodically lift, walk, bend, pull, and carry. Repetitive motion of wrists, hands, and fingers. Visual acuity is required for preparing and analyzing data, viewing computer screens, extensive keyboard, and mouse activity. Must be able to hear, speak, and understand normal tones. Must be able write, read, comprehend, and verbalize information proficiently in the English language. Periodically will be required to be at different TXH sites and events. Must be able to safely access and navigate each of the organization’s facilities. Some travel will be required for northern locations.
